ASSISTANT EXECUTIVE DIRECTOR OF VISITOR EXPERIENCES

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu is seeking a high-level professional with strong management skills to oversee several departments including cultural programs, botanical and conservation group, and retail and visitor services to develop, coordinate, and manage the overall visitor experience, including rich cultural experiences.

                                                                     

Assists Executive Director in growing Waimea Valley in a culturally appropriate way in compliance with acceptable business practices for nonprofits. Additionally, this person is expected to create, in alignment with the mission and vision, a positive atmosphere for all employees, visitors, and guests. Positive and meaningful visitor experience and service are core values in the management and stewardship of Waimea Valley. It is highly encouraged that staff possesses cultural knowledge and practice to facilitate this mission with hospitality, sincerity, and aloha.

Position Requirements:
1.         Administrative: Assists Executive Director in gathering information, researching issues, and formulating proposals for the strategic plan and annual objectives. Works with Group Managers to compile reports for submission to Executive Director and LLC Managers.

2.         Operations: Works with Group Managers to ensure that programs and daily activities comply with strategic plans and meet annual objectives.

3.         Budgeting and Finance: Works with Executive Director to prepare to operate and capital budgets and monitor the implementation of approved budgets. Oversees Retail and Visitor Services accounting. Reviews reports to analyze projections of revenue and profit against actual figures budgeted expenses against final totals and suggests methods of improving the budgeting process as appropriate. Prepares budget revision as requested.

4.         Planning: Provides assistance in coordinating and prioritizing planning. Conducts research, prepares statistical reports, and handles information requests. Works with Executive Director to identify opportunities and areas that need to be expanded, reorganized, downsized, or eliminated. Works with Group Managers to develop their ability to draft their departmental work plans with appropriate tasks and timelines.

5.         Human Resource Management: Assures Group Managers carry out supervisory responsibilities (interviewing, training, assigning, directing, appraising performance, rewarding and disciplining, investigating grievances, and resolving disputes), and assists as needed. Responsible for the same supervisory duties over Group Managers in accordance with Company policies and applicable laws.

6.         Special Management Projects: Assists Executive Director with: (a) preparation of policies and procedures; (b) solicitation, selection, oversight, and retention of outside consultants, vendors, and suppliers; and (c) any special projects requested by Executive Director.


Educational Requirements:
1.         Must possess a Bachelor’s degree in business administration, administration, Hawaiian culture, botany, conservation, or related field, or equivalent work experience.

2.         Master’s degree in business administration, hospitality, entertainment, or related field preferred.

3. At least ten (10) years of management experience,

Marketing Coordinator

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu is seeking a marketing specialist with strong marketing, advertising and social media skills to support Waimea Valley’s marketing initiatives and programs. This position reports to the Assistant Executive Director of Support Services and is responsible for the execution of the marketing plan and budget to enhance and promote the Waimea Valley visitor experience. The position includes advertising coordination and placement, social media postings, special promotions, website maintenance, newsletter preparation and dissemination, and special projects assigned by the Executive Director and/or Assistant Executive Director of Support Services. The position works with the Events Department and Photograph and Video Specialist who assist with documenting projects and coordinating events in the Valley along with a contracted Graphic Designer. 


ESSENTIAL DUTIES & RESPONSIBILITIES

 • Assist the Assistant Executive Director of Support Services in developing the annual marketing plan and budget. 

• Oversee the company’s marketing budget. 

• Assist with the development, execution, and monitoring of email, digital, social media, and content marketing campaigns, including creating original content, and conducting market research.

 • Assist with developing and managing content and social media marketing programs, including blogs and public relations efforts. 

• Coordinate the printing and placement of all marketing materials and ensure materials are stocked in designated areas throughout the Valley. 

• Obtain regular customer feedback through the design and supervising on-site and digital surveys. 

• Evaluate and monitor campaign performance on an ongoing basis by analyzing key metrics and creating comprehensive reports

• Coordinate marketing and community events. 

• Create and publishes all marketing material in line with marketing plans. 

• Monitor all signage throughout the Valley to ensure compliance with Waimea Valley sign standards.

• Conduct market research and identify industry trends. 

• Plan and implement promotional campaigns. 

• Prepare online and print marketing campaigns. 

• Create a wide range of marketing materials. 

• Work closely with the graphic designer to create, proofread, and edit copy for various marketing channels, ensuring a consistent voice 

• Maintains effective internal communications to ensure that all relevant staff is kept informed of marketing activities.


Minimum Requirements: 

• Bachelor's degree in business administration, marketing, communications, or a related field

• 2-4 years of experience in marketing 

• Must have strong organizational and project management skills, as well as attention to detail 

• Excellent written and verbal communication skills, as well as outstanding copywriting and proofreading skills

 • Firm grasp on various marketing platforms, channels, and best practices, including social, digital, and email marketing

 • Must be a self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines 

• Must have strong analytical skills to analyze metrics and create reports 

• Must have a high level of creativity • Working knowledge of Hawaiian history and culture preferred. 

• Must be people-oriented and able to work well with others.

• Must be organized and a self-starter. Must exercise independent judgment to prioritize projects and respond to situations as they arise without direct supervision.

• Must project a professional demeanor. 

• Must be capable of handling public speaking. Must have good oral and written communication skills.

Events Coordinator

 
Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu is seeking a detail-oriented event professional with strong coordination and organizing skills to manage and coordinate Waimea Valley’s events program with a focus on maximizing venue through facilities rental. Waimea Valley has eight venue rental facilities that the Event Coordinator will be responsible for managing, selling, and marketing. This position will be organizing a large number of meetings, conferences, and events for internal and external vendors throughout the year. The ideal candidate creates a continual flow of inquiries, who become clients requiring the drafting of rental agreements, and managing communications with clients and vendors. Above all, he or she must be comfortable in a leadership role that demands a creative, business-driven mindset. 


Essential Duties and Responsibilities 

• Manage and execute coordination of internal and private events. 

• Prepare contracts, proposals, invoices, check requests, and processes all payment 

• Support and supervises filming requests and activities in the Valley. 

• Supervise, source, and order supplies, equipment, materials, and needed services for the special events department.

• Events management and coordination

• Respond to all event inquiries for information within 48 hours. Conducts site tours for potential clients. 

• Maintain client/partner profiles, contacts, and additional necessary records used in the Sales and Event operation

• Work closely with Ke Nui Kitchen to coordinate site tours, contracts, and logistical planning.

• Coordinate and oversees events to ensure compliance with established guidelines and procedures. 

• Prepares report (inquiries, revenue, and survey) to be turned in to the Assistant Executive Director of Support Services on a monthly, quarterly, and annual basis. 

• Act as liaison with customers, vendors, suppliers, contractors, and members of the general public on special events. 

• Maintain files, schedules, events, and company calendars 

• Participate in scheduled meetings as requested • Gather materials and assemble information packages 

• Arrange and co-ordinate meetings, events, and any appointments 


Requirements and Qualifications 


1. The ability to multitask and prioritize is essential for this position 

2. A solid working knowledge of all MS systems; Word, PowerPoint, Excel, and Publisher are required 

3. Must possess a high school diploma.

4. At least 3 years of event coordination experience in a business setting. 

5. Working knowledge of Hawaiian history and culture preferred. 

6. Must have a good working knowledge of office administrative systems. 

7. Requires the ability to read a budget. 

8. Must be people-oriented and able to work well with others.

Ho`okipa Ambassador


Greets and welcomes visitors and guests as they enter. Gives an overview of the historic sites, artifacts, and botanical resources in the Valley. Answers questions. Encourages visitors to consider the cultural walks and tours. Expresses appreciation to visitors and guests as they leave. 

Position requirements: 

1. Greets and welcomes visitors and guests as they enter. 

2. Greets student groups and tour groups as appropriate. 

3. Shares a map of Waimea Valley and several key points of interest. 

4. Talks about activities in the Valley each day. 

5. Encourages visitors to consider the cultural and botanical walks and tours, and the hula show (during Summer). 

6. For guests who want more information, shares details about the historic sites, artifacts, and botanical resources in the Valley. 7. Encourages purchase of Souvenir Book when appropriate. 

8. Shares information about shuttles. 

9. For kama’aina, talks about kama’aina admission discounts, annual passes, morning walker program, volunteer opportunities, and adopt-a-garden. 

10. Promotes events that are coming up. 

11. Able to respond to inquiries and/or discuss Hawaiian history, cultural practices, myths, and legends. 

12. Assists the Marketing & Events Department by monitoring the condition of signage and making suggestions for signage, exhibits, and self-guided interpretive material for all ages. 


Education Requirements: 

1. As a minimum, a high school diploma is required. A degree (associate or four-year) in hospitality, Hawaiian Studies, or a related field is desirable. 

2. At least two years of relevant community or Hawaiian agency experience.
